Wes-Boland Eisteddfod Constitution

Constitution (1991). Revised 2018.


The Eisteddfod will be known as the Wes-Boland Eisteddfod.


2.1 AREA

The region that will be served traditionally by the Eisteddfod and where its  business will be conducted, fall under the magisteral districts of Malmesbury, Hopefield, Vredenburg, Piketberg, Moorreesburg, Wolseley, Tulbagh and Clanwilliam, which includes the towns of: Malmesbury, Hopefield, Vredenburg, Saldanha, Langebaanweg, Velddrif, Darling, Riebeek-Wes, Riebeek-Kasteel, Tulbagh, Porterville, Piketberg, Citrusdal, Moorreesburg, Aurora, Wolseley and Stompneusbaai. However, people and organisations of other regions are welcome to participate.


Only affiliated bodies may participate. Bodies must renew their affiliation annually by paying affiliation fees as determined from time to time by the Management Board.


The administrative headquarters of the Eisteddfod is the town the Chairperson resides in. The pivotal school is the school of choice in the town the Chairperson resides in. All meetings as well as the Prestige Evening will be held at said school.


3.1 The advancement of performing and creative arts in the Western Boland region by means of organized competition.

3.2 The continuous strive after higher standards through competition that are subjected to professional adjudication.

3.3  Participants may compete in Afrikaans and English.


The Western Boland Eisteddfod is a body corporate and may purchase and sell property; may prosecute people or bodies and may itself be prosecuted. Office bearers cannot be held responsible in private capacity for actions and claims established against the Eisteddfod.


Traditionally Afrikaans, including Engels and Xhosa.


The  Western Boland Eisteddfod will continue to exist even as its members and officials change.


No member or official may claim any property or asset that belongs to the Western Boland Eisteddfod.


8.1 The Annual Meeting is held in the third term of every year after members and people involved have received at least three weeks’ notice in writing from the Chairperson.

8.2 Annual Meetings serve as a forum for proposals and motivations to be discussed at Board or Management meetings.

8.3 All affiliated bodies are automatically invited to the Annual Meetings.

8.4 At these meetings members of the Board/Management of the Eisteddfod are confirmed.

8.5 An extensive report of the activities of the Eisteddfod during the previous term will be submitted.

8.6 An audited financial report of the previous year’s Eisteddfod will be presented.

8.7 All meetings will proceed per agenda and according to acknowledged procedures.


All affiliated bodies must receive notice in writing of proposed changes to amend the Constitution, three weeks before the Annual Meeting. Members who attend the Annual Meeting will serve as a quorum if it can be proved that notice of the meeting had been given at least three weeks in advance.

10.1 At least 2 Management meetings will be held every year.

10.2 The Executive Committee will co-opt members to serve in case of vacancies in the period between Annual Meetings.  .

10.3 All meetings are held per agenda and according to acknowledged rules of procedure.


11.1 The Executive Committee consists of the Chairperson and two additional members that were put forward to Management and who were approved at an official Management Meeting.  One of the additional members may also be a member of staff from the pivotal school to serve on the Executive Committee.

11.2 Members of the Executive Committee will be the financial committee.

11.3 The Executive Committee make decisions regarding urgent matters that will later be    endorsed by Management/the Board.

11.4 The Executive Committee meet as often as it’s necessary.  All members must be present.

11.5 All meetings will be held per agenda and according to accepted rules of procedure.


12.1 The Chairperson co-ordinate all activities of the Eisteddfod.

12.2 Conveners are responsible for organizing specific sections or categories as set out in Guidelines for Conveners (See Addendum A).

12.3 The Conveners’ towns of residence will serve as centrum of each one’s specific section or category if the town/school is able to accommodate it. If not, said Convener may propose an alternative venue to the Executive Committee for approval.

12.4 Management/The Board is responsible for all organizational aspects regarding rules, syllabi, programs etc.


13.1 The Eisteddfod will use its income and property exclusively to advance its aims and objectives as set out in ARTICLE 3 of this constitution. Under no circumstance will part of it be transferred directly or indirectly in any way to benefit someone, except for paying  a reasonable remuneration to adjudicators, the Chairperson and approved running costs.

13.2 The Chairperson is in control of all financial matters and will annually present a complete financial report to the Board/Management Committee at the first Management Meeting after the auditing process has been completed

13.3 Bookkeeping will be presented for auditing at the end of each year.

13.4 The financial year starts on 1 January till 31 December.

13.5 Sponsors may be found and income generated in the areas as set out in ARTICLE 2.

13.6 The Chairperson’s annual raise will be determined by the auditor and additional members of the Executive Committee, based on the average percentage increase.

13.7 The Chairperson will continuously communicate the financial state of the Eisteddfod to the Executive Committee and interested members of the Board/Management Committee.

13.8 The Board/Management Committee will determine all fees regarding Eisteddfod affiliation, entry fees and payment of running costs.

13.9 All financial transactions will be done via a cheque account at a registered bank. Investments may be made at any registered financial institution.

13.10 The Chairperson and one appointed additional member from the Executive Committee have the right to endorse transactions.

13.11 The Executive Committee appoint auditors and present them to the Board/Management Committee. A recommendation, accompanied with a motivation for change of auditors, may be made at any time by any member of the Board/Management Committee.


The adjudicating process is extensively described in the following documents:

In such a time that participation in the Eisteddfod has ceased to the extent that it is not financially viable anymore, dissolution may take place. This decision may be made at a special general meeting, organized by the Executive Committee.  All members will be invited to this meeting.

Written notice must be given to all interested and concerned organisations, informing them about the planned dissolution at least three weeks before the final meeting is held.

Members must indicate if they will attend the meeting, and if they cannot attend, they have to submit written opinions/motivations about the pending dissolution of the Eisteddfod.

The Eisteddfod may be dissolved if at least two thirds of the members (Affiliated institutions/organisations, excluded private affiliations) vote in favour of dissolution.

After dissolution all assets must be transferred in money that will be ceded to another organization that is registered according to the Act on Organisations without profit motive 1997.

Wes-Boland Eisteddfod Grondwet

Die Eisteddfod staan bekend as die Wes-Boland Eisteddfod.


2.1 AREA

Die streek wat die Eisteddfod tradisioneel bedien en waarin sake voortgesit sal word en bydraes ingesamel sal word, is die landdrosdistrikte van Malmesbury, Hopefield, Vredenburg, Piketberg, Moorreesburg, Wolseley, Tulbagh en Clanwilliam waaronder die volgende dorpe ingesluit is: Malmesbury, Hopefield, Vredenburg, Saldanha, Langebaanweg, Velddrif, Darling, Riebeek-Wes, Riebeek-Kasteel, Tulbagh, Porterville, Piketberg, Citrusdal, Moorreesburg, Aurora, Wolseley en Stompneusbaai.

Persone en instansies van ander streke is egter ook welkom om deel te neem.


Slegs geaffilieerde liggame mag deelneem. Liggame moet jaarliks affilieer deur affiliasiegeld te betaal soos van tyd tot tyd deur die Bestuur vasgestel.


Die administratiewe setel van die Eisteddfod is die dorp waar die Voorsitter woonagtig is. Die basisskool is die skool van keuse in die Voorsitter se tuisdorp. Alle vergaderings en die Prestige-aand sal gehou word by die basisskool.


3.1 Die bevordering van die uitvoerende en skeppende kunste in die Wes-Boland streek       deur georganiseerde mededinging.

3.2 Die nastreef van ‘n steeds hoër standard in mededinging wat aan professionele beoordeling onderworpe is.

3.3 Mededinging word toegelaat in Afrikaans en Engels.


Die Wes-Boland Eisteddfod is ‘n regspersoon en mag eiendom koop en verkoop, mag persone en instansies vervolg en mag self ook vervolg word. Ampsdraers kan nie persoonlik aanspreeklik gehou word vir aksies en eise wat teen die Eisteddfod ingestel word nie.


Tradisioneel Afrikaans, met in agneming van Engels en Xhosa.


Die Wes-Boland Eisteddfod sal bly voortbestaan al wissel die lede en amptenare.


Geen lid of ampsdraer mag aanspraak maak op enige eiendom of bates van die Wes-Boland Eisteddfod nie.


8.1 Die Jaarvergadering vind plaas in die derde kwartaal van elke jaar nadat die Voorsitter ten minste drie weke vantevore skriftelik aan alle betrokkenes kennis gegee het.

8.2 Die Jaarvergadering dien as ‘n forum vir voorstelle en motiverings om voorgelê te word vir bespreking by die Bestuursvergadering.

8.3 Alle geaffilieerders het ‘n ope uitnodiging na die Jaarvergadering.

8.4 By hierdie geleentheid word die Bestuur van die Eisteddfod bevestig.

8.5 ‘n Volle verslag van die vorige termyn se werksaamhede word voorgelê.

8.6 ‘n Geouditeerde finansiële verslag van die vorige jaar se Eisteddfod word beskikbaar gestel.

8.7 Alle vergaderings geskied per agenda en volgens erkende prosedurereëls.


Skriftelike kennisgewing van beoogde wysigings aan die Grondwet moet alle geaffilieerde liggame drie weke voor die Jaarvergadering bereik. Die teenwoordige lede by die Jaarvergadering dien as ‘n kworum indien bewyse van kennis van vergadering ten minste drie weke voor die tyd gelewer kan word.

Een sameroeper vir elke ander vertakking van die Eisteddfod waarop die Bestuur mag besluit.


10.1 Daar sal ten minste 2 Bestuursvergaderings per jaar belê word.

10.2 Die Dagbestuur koöpteer lede in vakatures wat mag ontstaan in die tydperk tot die volgende Jaarvergadering.

10.3 Alle vergaderings geskied per agenda en volgens erkende prosedurereëls.


11.1 Die Dagbestuur bestaan uit die Voorsitter en twee addisionele bestuurslede wat op aanbod aan die Bestuur voorgelê word en deur die Bestuur bevestig word by ‘n amptelike Bestuursvergadering. Een van hierdie addisionele lede kan ook uit die Basisskool aangewys word om op die Dagbestuur te dien.

11.2 Die lede van die Dagbestuur vorm die finansiële komitee.

11.3 Die Dagbestuur besluit oor dringende sake vir latere goedkeuring deur die Bestuur.

11.4 Die Dagbestuur vergader so gereeld soos benodig word. Al drie lede moet teenwoordig wees.

11.5 Alle vergaderings geskied per agenda en volgens erkende prosedurereëls.


12.1 Die Voorsitter koördineer alle werksaamhede van die Eisteddfod.

12.2 Die Sameroepers is verantwoordelik vir die organisering van die spesifieke afdeling soos uiteengesit in Riglyne vir Sameroepers (sien Aanhegsel A).

12.3 Die sameroeper se tuisdorp sal dien as die sentrum vir die aanbieding van daardie afdeling, indien die dorp/skool geskik is om dit te akkommodeer. Indien die dorp/skool nie geskik is nie, kan die sameroeper ‘n alternatiewe sentrum vir aanbieding aan die Dagbestuur voorlê vir goedkeuring.

12.4 Die Bestuur is verantwoordelik vir alle organisasie t.o.v. reëls, sillabusse, programme, ens.


13.1 Die Eisteddfod sal sy inkomste en eiendom uitsluitlik ter bevordering van sy oogmerk en doelstelling soos in Artikel 3 van hierdie grondwet gemeld, aanwend. In geen omstandighede sal ‘n gedeelte daarvan regstreeks of onregstreeks op enige wyse hoegenaamd oorgedra word ten einde iemand te baat behalwe by wyse van betaling ter goeder trou van ‘n redelike besoldiging aan slegs beoordelaars, die Voorsitter en goedgekeurde bedryfsuitgawes.

13.2 Die Voorsitter is in beheer van alle geldsake en lê ‘n volledige finansiële verslag voor aan die Bestuur by die eerste Bestuursvergadering nadat die ouditeuringsproses afgehandel is.

13.3 Boekhouding word voorgelê vir ouditering aan die einde van elke jaar.

13.4 Die finansiële jaar strek van 1 Januarie tot 31 Desember.

13.5 Die gebied waarin borge gevind en bydraes ingesamel mag word, sluit die gebiede in soos genoem in Artikel 2.

13.6 Die Voorsitter se jaarlikse verhoging sal bepaal word deur die ouditeur en die addisionele lede van die Dagbestuur, gebaseer op die gemiddelde persentasie verhoging.

13.7 Die Voorsitter kommunikeer deurlopend die finansiële status van die Eisteddfod aan die Dagbestuur en geïnteresseerde Bestuurslede.

13.8 Die Bestuur stel alle bedrae rakende Eisteddfod affiliasies, inskrywings en uitbetalings vas.

13.9 Alle finansiële transaksies sal d.m.v. ‘n tjekrekening by ‘n geregistreerde bank gemaak word. Beleggings mag by enige geregistreerde finansiële instelling gemaak word.

13.10 Die Voorsitter en een aangewysde addisionele lid van die Dagbestuur het finansiële tekenreg.

13.11 Die Dagbestuur stel ouditeurs aan en word voorgelê aan die Bestuur. ‘n Voorstel met motivering vir verandering van ouditeurs kan ter enige tyd deur enige Bestuurslid gemaak word.


Die beoordelingsproses word breedvoerig omskryf in die volgende dokumente:

  1. Riglyne vir sameroepers (Addendum A)
  2. Beleid (Addendum B)
  3. Riglyne vir beoordelaars (Addendum C)


Wanneer deelname in so ‘n mate afgeneem het dat die Eisteddfod nie meer finansieel lewensvatbaar is nie, kan ontbinding plaasvind. Hierdie besluit kan gemaak word tydens ‘n spesiale algemene vergadering waarna alle lede uitgenooi word. Hierdie vergadering sal belê word deur die Dagbestuur.

Skriftelike kennisgewing van voorgenome ontbinding moet aan alle belanghebbende organisasies gestuur word, minstens drie weke voor die vergadering.

Lede moet aandui of hul teenwoordig gaan wees en indien nie, moet skriftelike menings/motiverings oor moontlike ontbinding ingedien word.

Die Eisteddfod kan ontbind indien minstens twee derdes van die lede (geaffilieerde instansies, privaat affiliasies uitgesluit) ten gunste van ontbinding stem.

By ontbinding sal alle bates in geld omskep en aan ‘n ander organisasie oorgedra word wat geregistreer is kragtens die Wet op Organisasies sonder winsoogmerk 1997.

To create cultural events where children can be exposed to cultural skills and knowledge and experience the feeling of participating and competition in this regard.

To organize cultural events where children can be exposed to and gain experience as they use their talents.

To strenghten cultural knowledge and skills of children and improve it through competition against their peers.

To advance culture as an extra-mural activity in its broadest sense.

Affiliation entails the completion of an affiliation form as well as paying the affiliation

fees. Only organisations who are affiliated may enter candidates.  All affiliation

issues are handled by the Chairperson.

Organisations pay affiliation fees according to the total number of learners attending

their schools or centres:

  • School or centre with 500 and more students.
  • School or centre with 250 – 499 students.
  • School or centre with less than 250 students.
  • School or centre with less than 60 students.
  • Individuals

The affiliation fees will be revised annually by the Board and be made public before

the end of the previous year.

Schools with fewer than 250 learners, falling in the affiliation category of R650/R750, have the option to opt for a reduced affiliation fee of R300 if they restrict their entries to only 1 -3 bigger groups, consisting of 10 or more participants each.

Entry fees are calculated per individual who participates. When a group consists of more than 10 participants it will be required to pay a set fee. The Board will revise entry fees annually.

Entries will be tended to by the Chairperson only. Entry forms and proof of payment for all sections may be completed electronically and e-mailed to or it can be completed manually and faxed to 086 607 4957. No photos of entry forms will be accepted.

Proof of payment must be sent with the affiliation forms as well as the entry forms.

No cash payment will be accepted by the Eisteddfod.

All entries must be fully completed correctly.

No entries will be accepted after the closing date.

No entries will be considered without payment.

Incorrect entries cannot be rectified after the release of the final program.

Regarding individual entries: No participant may compete in an age group younger than his/her grade or age. Participants may however, compete against older competitors.  Regarding groups: The group must enter under the age of the oldest group member.

The maximum number of entries are:

  • Recitation : 8 entries/grade/category (10 entries for big schools, except for combined schools).
  • Art: Minimum of 60 entries per school
  • Reading: 4 entries/grade/category

 No category will be cancelled because of too few entries.

Cancellations of participants must be relayed as soon as possible to the relevant convener.

No refunding for cancellations will be made after the closing date of entry.

All participants must hand in a participation slip when they perform. The person responsible for the entries of each school will receive a program in advance in order to complete and hand out the participation slips for each participant. The participation slips may be downloaded from

No entries may be done on the day of the event at the venue of the competition.



Any amateur may participate.

A preliminary programme will be released at the beginning of the third term. Schools and organisations will be able to ensure that the programme can be followed by comparing their entries with the proposed timetable. At this stage changes to entries will not be allowed.

The final programme will be released shortly thereafter. It will be posted on the website and will not change again.

Enquiries regarding programmes can be made at the conveners themselves.

Age restrictions accept that the participant has not surpassed the required age on 1 January of the year they are taking part in.

Adjudicators’ names will be announced on the day of participation.

Participants may not:

    • participate in school uniform, except when they are part of choirs, choral verse and or compete in Literature categories.
    • request to have allocated time slots moved.
    • take part more than once in the same category.
    • present the same material in more than one grade or category.
    • perform the same material that has been performed the previous year.
    • request to practice in the venue before they are going to perform.
    • perform more often than the prescribed number allowed in a category.
    • arrive later then the set time as they will unfortunately not be allowed to perform.

Participations must:

  • hand in their participator’s slip at the convener as soon as they arrive at the venue.
  • hand over a copy of the material they are going to perform to the adjudicator as soon as they arrive at the venue, except when it’s a set or prescribed piece. If participants do not adhere to this rule, they will be disqualified.  This material must be neatly presented.
  • arrive at the venue at least 30 minutes before the set time.

In the case of overlapping items (when a participant has to compete in two different categories in the same time slot), participants must inform assistants at both venues and then first go to one set venue to perform and immediately after participating, go to the other.

Entry fees include the price of a programme and all spectators will be charged. Coaches and teachers receive free access to all venues.

No one, except for Eisteddfod officials, may address an adjudicator before or during a session. No one will be allowed to enter a venue during an adjudication session.

Complaints must be submitted in writing to the concerned convener or the Chairperson within 24 hours after the performance. Nothing will be addressed verbally during the proceedings.

Educators and participators are responsible for their own props, CDs and instruments as required for their performances. A sound system will be available for the categories: Singing with Electronic Accompaniment and Dancing.


Do not enter, exit or move around during performances. Participants are distracted.

No food or beverages will be allowed in a venue where participants perform. The rustle of papers are distracting for both participants and adjudicators who need to focus.

Audiences should not converse or laugh aloud while the adjudicator is completing the paperwork. Silence should be maintained for the full duration of the session.

When the adjudicator delivers his/her comments after everyone’s performance, the audience should maintain silence.

No one may address the adjudicator while he/she is writing the reports.

Cameras with flashes should not be used during performances as it distracts participants.

An assistant, organiser or convener may request that recordings are terminated if they are upsetting the performance. They may also request that a noisy member of the audience leave the venue.

C.       AWARDS

Cum Laude certificate:       90% and higher

Gold certificate:                 80% to 89%

Silver certificate:               70% to 79%

Bronze certificate:             60% to 69%

White certificates are issued for participation.

No percentages will be disclosed.

Each individual in groups consisting of 10 and fewer members will receive a certificate.  Groups consisting of 11 and more members, will receive one certificate for the group. If an individual from such groups would like to have his/her own certificate, he/she can request one from the Chairperson with cost.

A participant must have received a minimum of 90% as well as obtained the highest percentage in the section to be declared a price winner.

Only one prize winner per section will be accepted. Adjudicators must determine the winner with the highest percentage.

Individuals and groups of 4 and smaller, each receive a medal as winner of a section at the Prestige Evening.

Groups of 5 and more receive a floating trophy as winner of the section at the Prestige Evening.

Shields are handed over at the Prestige Evening to the schools or organisations who received most prizes in their categories, i.e.  Music, Small Organisations (as determined by affiliation), Primary Schools, High Schools and Combined Schools.

A prizewinner’s achievement is allocated and recognized in the name of the school or organization that had entered him/her in the specific section he/she had won.

All trophies and shields that had been won in a specific year, must be handed back to the Chairperson or school at the end of the second term of the following year as arranged. Winners of trophies are accountable for any costs of repairs of damaged trophies. Medals remain the property of prizewinners and do not have to be returned.

Prizewinners may be asked to perform without compensation at the Prestige  Evening and have to be available on that specific evening.

Results are final and not negotiable with conveners or adjudicators.

Results are confidential.



The financial bookkeeping of the Eisteddfod, handled by the Chairperson, will be reviewed by independent auditors at the end of each year.

It is the duty of Management to review the entry and affiliation fees annually.

It is the Executive Committee’s responsibility to draw up an annual budget.



Adjudicators may not be involved in teaching at any school in the Western Boland region.

Adjudicators my not disclose percentages, verbally or in writing. Only awards such as Cum Laude, Gold, Silver, Bronze and White may be disclosed to participants.




Affiliasie behels die invul van die affiliasievorm en betaling van die affiliasiefooi.

Slegs instansies wat geaffilieer is, kan kandidate inskryf. Affiliasie word slegs deur die Voorsitter hanteer.

Instansies betaal hul affiliasiefooi volgens die totale aantal leerders in die skool as volg:

    • Skool of instansie met 500 en meer leerders
    • Skool of instansie met 250 tot 499 leerders
    • Skool of instansie met minder as 250 leerders
    • Skool of instansie met minder as 60 leerders
    • Individue

Die affiliasiefooi sal jaarliks deur die Bestuur hersien word en voor die einde van die vorige jaar bekendgemaak word.

Skole wat meer as 250 leerders het en dus in die affiliasie-kategorie vir R650/R750 val, sal die opsie hê om ‘n verminderde affiliasiefooi van R300 te betaal indien hul slegs 1 tot 3 groot groepe wil inskryf vir die Eisteddfod. So ‘n groep moet uit 10 of meer lede bestaan.

Inskrywingsgelde word bereken per individu wat deelneem. In die geval waar ‘n groep uit meer as 10 deelnemers bestaan sal die groep egter ‘n vaste bedrag betaal. Die Bestuur sal jaarliks die inskrywingsgelde hersien.

Inskrywings word slegs deur die Voorsitter hanteer. Inskrywingsvorms en betalingsbewyse (alle afdelings) kan elektronies ingevul en per e-pos gestuur word na of of kan per hand ingevul word en gefaks word na 086 607 4957. Geen foto’s van inskrywingsvorms sal aanvaar word nie.

Bewys van inbetaling moet saam met affiliasievorm asook saam met inskrywings gestuur word.

Geen kontant sal deur die Eisteddfod hanteer word nie.

Elke inskrywing moet volledig en korrek ingevul word.

Geen inskrywings sal ná die sluitingsdatum aanvaar word nie.

Geen inskrywing sonder betaling sal hanteer word nie.

Foutiewe inskrywings kan nie reggestel word na die finale program uitgegee is nie.

 Ten opsigte van individuele inskrywings mag ‘n deelnemer nie laer as sy graad/ouderdomsgroep deelneem nie, maar wel hoër. In die geval van groepe moet die groep deelneem in die ouderdomsgroep van die oudste deelnemer.

Die maksimum aantal inskrywings is:

  • Voordrag – 8 inskrywings/graad/afdeling
    • 10 inskrywings vir groot skole-afdeling (gekombineerde skole uitgesluit)
  • Kuns – maksimum 60 inskrywings per skool
  • Lees – 4 inskrywings/graad/afdeling

 Geen kategorie word as gevolg van te min inskrywings gekanselleer nie.

Kansellasies van deelnemers moet vroegtydig aan die betrokke sameroeper deurgegee word.

Geen terugbetalings word na die inskrywingsdatum vir kansellasies gedoen nie.

Alle deelnemers moet ‘n deelnemerstrokie inhandig met deelname. Die persoon verantwoordelik vir inskrywings sal vroegtydig ‘n program ontvang soos vir  afdelings ingeskryf en is self verantwoordelik vir die invul en uitgee van die deelnemerstrokies vir elke deelnemer. Deelnemerstrokies kan afgelaai word by

Geen inskrywings mag by die lokaal gedoen word nie.

B.         DEELNAME

Enige amateur mag deelneem.

‘n Voorlopige program word uitgegee aan die begin van die derde kwartaal. Instansies kry dan die geleentheid om seker te maak die program is reg volgens hul inskrywings. Geen veranderinge aan inskrywings sal op hierdie stadium toegelaat word nie.

Die finale program sal kort daarna uitgegee word. Hierdie program word op die webtuiste geplaas en geen veranderinge sal daaraan gemaak kan word nie.

Navrae in verband met programme kan direk aan die verskillende sameroepers gerig word.

Waar daar ‘n ouderdomsbepaling van toepassing is, word verstaan dat die deelnemer nog nie die vasgestelde ouderdom op 1 Januarie van die betrokke jaar oorskry nie.

Die beoordelaars se name sal eers op die dag van beoordeling bekendgemaak word.

Deelnemers mag nie:

    • in skoolklere deelneem nie, behalwe by koorsang/spreekkore en Letterkunde.
    • versoek om tye te skuif nie.
    • Meer as een keer in dieselfde kategorie deelneem nie.
    • dieselfde stuk/werk in meer as een graad/kategorie aanbied nie.
    • dieselfde stuk/werk van ‘n vorige jaar herhaal nie.
    • versoeke rig om in die lokale te oefen nie.
    • meer as die voorgeskrewe aantal kere in ‘n kategorie deelneem nie.
    • láát kom nie – hulle sal ongelukkig nie beoordeel kan word nie.

Deelnemers moet:

  • Deelnemerstrokie by opsiener inhandig ten tyde van optrede.
  • ‘n Kopie van werke wat voorgedra word aan die beoordelaar voorlê, behalwe in die geval van voorgeskrewe werke. Indien dit nie nagekom word nie, sal die deelnemer gediskwalifiseer word. Netjiese voorleggings spreek vanself.
  • Minstens 30 minute voor die tyd by lokale aanmeld.

Wanneer oorvleueling plaasvind en ‘n deelnemer op dieselfde tyd aan twee verskillende items moet deelneem, moet die deelnemer eers na die een en direk daarna na die tweede item gaan. Lig die assistente in die betrokke lokale hiervan in.

Daar sal toegangsgeld gevra word aan toeskouers wat ‘n program insluit. Dit sluit afrigters en onderwysers uit wat gratis toegang kry.

Geen persoon, behalwe Eisteddfod beamptes, mag voor of tydens ‘n betrokke sessie met die beoordelaar in gesprek tree nie.

Geen persoon sal tot ‘n lokaal toegelaat word tydens beoordeling nie.

Besware moet skriftelik binne 24 uur ingedien word aan die betrokke sameroeper of die Voorsitter. Geen insident sal mondelings tydens die verrigtinge hanteer word nie.

Opvoeders en deelnemers is self verantwoordelik vir rekwisiete, CD’s en instrumente soos verlang in hul optrede. Daar sal wel in die afdelings Sang met Elektroniese Begeleiding en Dans ‘n klanksisteem beskikbaar gestel word.


Moenie in- en uitloop tydens optredes nie. Die deelnemers verloor konsentrasie.

Geen eet- en drinkgoed word toegelaat in lokale waar opgetree word nie. Die geritsel van papiere is steurend vir deelnemer sowel as beoordelaar wat moet konsentreer.

Die gehoor moet nie hardop lag of gesels tydens items of terwyl die beoordelaar besig is om te skryf nie. Daar moet dus deurgaans stilte in die lokaal gehandhaaf word.

Daar moet ook stilte wees tydens terugvoering van beoordelaar.

Niemand mag met beoordelaars praat terwyl hul besig is om die verslag te skryf nie.

Kameras met flitse wat tydens beoordeling gebruik word is hinderlik en pla die deelnemers.

Die assistent/organiseerder mag vra dat opnames gestaak word indien dit steurend is of dat ‘n persoon die lokaal verlaat wat nie stilte handhaaf nie.


Cum Laude sertifikaat:      90% en hoër

Goue sertifikaat:               80% tot 89%

Silwer sertifikaat:              70% tot 79%

Brons sertifikaat:               60% tot 69%

Wit sertifikate word vir deelname uitgereik.

Geen persentasies sal bekendgemaak word nie.

By groepe van 10 en minder ontvang elke individuele deelnemer ‘n sertifikaat. Groepe van 11 en meer sal een sertifikaat per groep ontvang. Indien elke individu van so ‘n groep ‘n sertifikaat verlang, sal dit aangekoop kan word teen ‘n vasgestelde bedrag by die Voorsitter.

Die deelnemer moes ‘n minimum van 90% behaal het asook die hoogste persentasie in sy afdeling om ‘n pryswenner te wees.

Slegs een pryswenner per afdeling word toegelaat. Daar moet dus ‘n hoogste persentasie toegeken word.

Individue en groepe van 4 en minder ontvang elkeen ‘n medalje as wenner van die afdeling tydens die Prestige-aand.

Groepe van 5 en meer ontvang ‘n wisseltrofee as wenner van die afdeling tydens die Prestige-aand.

Skilde word oorhandig tydens die Prestige-aand aan die instansies wat die meeste pryse verower het in hul kategorie, naamlik Musiek, Kleiner instansies (soos bepaal deur affiliasie), Laerskole, Hoërskole en Gekombineerde skole.

‘n Pryswenner se prestasie word toegeken en erken volgens die naam van die instansie wat hom/haar ingeskryf het vir die spesifieke afdeling waarin die prys gewen word.

Alle trofeë en skilde wat in ‘n betrokke jaar gewen is, moet teen die einde van die tweede kwartaal van die volgende jaar ingehandig word aan die Voorsitter of skole soos gereël. Trofeëwenners word aanspreeklik gehou vir enige koste ten opsigte van beskadiging van trofeë. Medaljes bly die eiendom van die pryswenners en hoef nie ingehandig te word nie.

Pryswenners kan gevra word om sonder vergoeding aan die Prestige-aand deel te neem en moet dus op die bepaalde datum beskikbaar wees.

Uitslae is finaal en nie onderhandelbaar met beoordelaars of sameroepers nie.

Uitslae word konfidentieël hanteer en slegs pryswenners sal bekendgemaak word.



Die finansiële boekhouding van die Eisteddfod, soos behartig deur die Voorsitter, sal aan die einde van elke jaar deur onafhanklike ouditeure nagegaan word.

Dit is die Bestuur se plig om elke jaar die inskrywings- en affiliasiefooie te hersien.

Dit is die Dagbestuur se plig om elke jaar ‘n begroting op te stel.


Beoordelaars mag nie betrokke wees by onderrig in die skole van die Wes-Boland streek nie.

Beoordelaars mag geen persentasies op kommentaarstrokies of sertifikate bekendmaak nie. Slegs die toekennings Cum Laude, Goud, Silwer, Brons en Wit mag aan deelnemers bekendgemaak word.
